SUMMER INTERN PROGRAM HOUSING LICENSE AGREEMENT 2025

This is a legal agreement between the undersigned (“Resident”) and Sarah Lawrence College (“College”). In exchange for available housing at the College for Resident’s use at the associated fees articulated herein, Resident agrees to the terms and conditions of this housing license agreement (“License”). Residents under 18 years of age must have this License co-signed by a parent or guardian.   

  1. TERMS AND CONDITIONS

Residents are obligated to sign this License and agree to all of its terms to reside in housing at the College.

DISCLAIMER: The College reserves the right to cancel housing eligibility for any Resident who has not paid all summer housing fees in full before their move-in date.  

The Resident agrees to read and abide by all Residential Life and Housing Policies as published in the current   Undergraduate Sarah Lawrence Student Handbook   starting on page 66, and the   Graduate Sarah Lawrence Student Handbook   starting on page 55, which are available to the public within the College’s official website or by clicking the links above. In addition, the Resident agrees to read and abide by all other applicable sections of the Student Handbook, and to comply with all current policies, procedures, and expectations of the College as published. The Resident understands the College may amend, modify, or revoke any policies without notice. Failure to abide by any College policies may result in immediate removal from College housing and forfeiture of housing fees. Failure to pick up a room key or occupy the assigned space does not release a Resident from their financial obligation under this License. 

  1. ELIGIBILITY

To qualify for summer housing at the College, the Resident must be, throughout the term of this License, a student enrolled in any college or university who is participating in an internship or summer research program for at least three (3) consecutive weeks and can provide proof of the same to the College. The proof must include the dates of the Resident’s internship or summer research program. Upload your supporting documents showing proof of your internship and/or institution affiliation along with a signed copy of this License. Residents unable to provide proof of an internship or summer research program, will be denied summer housing and have this License revoked. 

3.         FEES

The Resident’s housing application cannot be considered and will not be validated without execution of this license. 

Residents will be charged $400 per week with a minimum stay requirement of 3-weeks[1] [2] [3] [4]

Residents are required to pay 50% of the housing fees upon signing of the License.

The remaining 50% of the Resident’s fees must be paid two weeks before the Resident’s scheduled move-in date. 

4.         CANCELLATION OF LICENSE

This License is binding unless: (1) Residential Life receives and approves the Resident’s written cancellation request or (2) this License is otherwise canceled or terminated in accordance with the terms specified herein

Once initial payment is made by the Resident, refunds will not be given. Failure to check into a residence hall, reside in the assigned room or pay housing charges does not release Residents from the obligations of this License. The College reserves the right, in its sole discretion to reclaim and/or reassign the residential space if any obligations are not met.

Housing cancellations made after May 18, 2025 are not eligible for refund. Cancellation requests must be submitted in writing via email to the Office of Residential Life. No cancellation requests will be accepted by phone. The Resident may request a cancellation by submitting a written request to the Office of Residential Life. The request will be reviewed and a decision will be issued by the Office of Residential Life.

5.         LICENSE PERIOD

The License Period is for the duration of the Resident’s internship, as indicated in the proof provided to the College. Residents must apply for housing for a minimum of 3 weeks. 

Housing pursuant to this License will be available from Sunday, May 18, 2025 - Saturday, August 9, 2025

All Residents must move out of their assigned housing no later than Saturday, August 9, 2025. 

Move-in dates will vary based on the weeks you sign up for but will follow a Sunday move-in and Saturday move-out schedule. 

The College reserves the right, in its sole discretion, to require, if necessary, that the Resident vacate their housing/room assignment, including the removal of all personal property should the Resident violate outlined Community Standards as noted in the Undergraduate or Graduate Student Handbooks (hyperlinked in Section 1 above). In addition, The College may temporarily or permanently require the Resident to vacate their assigned housing at any time in the event of a health or safety emergency such as a pandemic.

6.         HOUSING ASSIGNMENT & OCCUPANCY

This License is for use of a residential space as provided by the College, including any facility that the College may now or hereafter own, lease, or otherwise arrange to make available for housing. This License is not transferable and housing shall not be assigned by the Resident. The Resident alone must occupy the assigned space during the License Period. 

Subject to the availability of space, the College will attempt to assign housing according to the Resident’s preferences, but the College will not guarantee assignment to a particular building, a particular room or room type, specific roommate, or other preference. Roommate requests based upon race, color, religion, sexual orientation, physical characteristic, or national origin cannot be accepted.

A residential space is the Resident’s assigned bedroom and, if applicable, any adjoining common spaces (e.g., shared kitchen, living rooms, and bathrooms) within shared suites, apartments or houses owned or operated by the College. Any residential common areas or non-residential spaces, such as kitchens, bathrooms, living rooms, storage areas, basements, closets, offices, attics, or crawl spaces may not be used as sleeping areas. The Office of Residential Life shall select and may change at any time, the space to which the Resident is assigned and the furnishings, features, and/or other occupants of the room.

In compliance with Section 504 of the Rehabilitation Act and the Americans with Disabilities Act (ADA), the College provides reasonable housing accommodations to Residents with disabilities. The College reserves the right to change a housing assignment in the event that a room is needed for ADA purposes. The College also reserves the right to change a housing assignment in order to consolidate open spaces or for facility or conduct reasons, and to assign vacant bedrooms as necessary, without notifying current residents. The College reserves all rights to assign the Resident to any available space or reassign the Resident if necessary. All reassignment decisions made by the College are final. All required relocations must be completed within 48 hours of notification from the College.[5] [6] [7] [8] 

Housing change requests from one room to another may be considered based on available space, date and time of request, and the necessity of transfer. A housing change fee may be applied. All housing changes must have the approval of the Office of Residential Life in advance; unauthorized housing changes are subject to a housing fine as well as housing probation or removal from housing.

7.         GUEST POLICY

To host a guest on campus, the Resident must secure permission from the other residents of their room/apartment/house before a guest visits, particularly overnight. This permission must be confirmed with the Office of Residential Life prior to the arrival of a Resident’s guest. An overnight guest is any person who is not a Resident of the residential area they are visiting and who visits/remains in the building between midnight and 7am, regardless of whether they plan to sleep during the stay. 

 

Guests may not stay overnight on campus for more than two consecutive nights or more than five nights within a 30-day period. The maximum number of overnight guests permitted at any time is two per Resident and overnight guests may not exceed the number of regularly assigned Residents plus one overnight guest per bedroom.

 

Guests must be 18 years of age or older. The Resident and any guest(s) must follow all applicable guest policies of the College. Residents are responsible for their guests and any actions taken or policies violated by said guest. 

The College reserves the right to deny housing applications and to change or cancel housing assignments in the interest of order, health, safety, or discipline.

The Resident is not allowed to sublicense or share occupancy of their room, including to third party services (e.g. Airbnb).

8.         TEMPORARY RELOCATION

The College reserves the right to temporarily relocate the Resident in the case of facilities, residential, or other concerns. In the case of a disruption to the Resident’s housing, a member of the Residential Life or on-call staff will identify options for a temporary room assignment and work with the Resident to select one of those spaces. Once the space has been selected, the staff member will notify the existing residents of the temporary space of a new incoming resident via email. They may, but not always, also introduce all residents, existing and new, via email as well. The staff member will also notify necessary offices via email to inform them of the room change and ensure the Resident’s ability to access the space. The Resident is responsible for packing and moving their necessities into the temporary space, based on the time the temporary space is available and their level of access to the original space, which will be communicated by the staff member. The Resident will return back to their original space once the issues have been reasonably resolved.

9.         SERVICES, FURNISHINGS & UTILITIES

The College shall furnish the Resident’s housing/room assignment with a single bed, chest of drawers, desk and chair, and closet or wardrobe space. All College houses and apartments are equipped with a range, refrigerator, and sink. Any damages beyond ordinary wear and tear will be charged to the Resident as specified in the Sarah Lawrence Student handbooks linked in Section 1 of this Agreement. Under no circumstances is the Resident permitted to remove College furniture or appliances from College bedrooms or common areas. Common-area furniture is not permitted in the Resident’s rooms. The College agrees to provide utilities to include electricity, water, and heat to Residents living in assigned College facilities. The availability of other amenities (e.g., air conditioning, laundry, study and lounge areas) varies by residence. The College agrees to provide Internet access in each residential area. Internet connection speed and type may vary and the College will not be responsible for temporary or intermittent loss of connectivity. The Resident is not permitted to bring furniture to residential space as all spaces will be furnished. 

10.       CONDITION & MAINTENANCE OF PREMISES

The College shall perform all maintenance to College residences and grounds, but the Resident will be charged for maintenance due to their action or negligence except for that which is normal or routine and in conjunction therewith. The College shall have the right through its agents and employees to enter the Resident’s room, apartment, suite, house, etc. for the purpose of examining, inspecting, and maintaining the College’s property. The Resident shall maintain their room and any affiliated common areas in a clean, sanitary, and safe condition at all times. The Resident will not permit noise or odors to emanate from the assigned space in such a way as to unreasonably disturb other residents. The Resident shall not store food so as to cause a vermin infestation of the assigned space. All persons assigned to a shared space shall be jointly responsible for cleaning and maintaining any kitchens, bathrooms, or other common areas. The Resident shall not alter the room or any furnishings or fixtures therein in any way without prior written consent from the Office of Residential Life (e.g. Shelves, locks, hooks, etc). The Resident shall report all facilities issues and emergencies to the College immediately. 

When the Resident vacates their assigned space, they shall remove all their personal property and leave the room and any furnishings clean and in the same condition as when occupancy commenced. The Resident agrees that the College may promptly dispose of any personal property left in the room after the end of the License Period without communicating to the Resident prior to disposal. The College will assess cleaning, repair, and disposal charges equally among all those assigned to the room, unless individual responsibility is established before departure. 

Charges for damage to any public areas or furnishings in a housing facility may be assessed, in the College’s sole discretion, against any or all of those assigned to the floor or the entire facility.

In addition, the Resident will be charged any local, county, state or federal penalties for non-compliance with existing statutes and College rules. This includes but is not limited to penalties assessed for non-compliance with fire codes.

DISCLAIMER NOTICE: Noise levels will likely be increased in Hill House - residence hall assigned for summer residents- due to required construction that will take place for the duration of the summer. Construction will be taking place Monday to Saturday from 8AM to 5PM. 

11.       USE OF RESIDENTIAL FACILITIES & RIGHT OF ENTRY

The College will, when necessary or desirable: (1) Require Residents to move to other accommodations in order to vacate a building, apartment, wing, floor, or room. (2) Change room assignments when vacancies occur in any bedroom. The College also reserves the right to change a housing assignment in order to consolidate open spaces or for facility or conduct reasons, and to assign Residents to vacant beds as necessary, without notifying current residents. (3) Control the use of rooms in the event of an epidemic. (4) Have staff regularly inspect all rooms for purposes of inventory, fire protection, sanitation, safety, maintenance, and policy enforcement. (5) Change room assignment for (a) for reasons of health, safety, or repair; (b) for disciplinary reasons; or (c) for reasonable incompatibility of roommates as determined by the Office of Residential Life.

The College reserves the right, at any time and for any reason, in its sole discretion, to enter assigned residential spaces without prior notice to occupants to make repairs; to inspect for compliance with health, fire, or building codes; to inspect for compliance with College policies or regulations; or because of any situation that the College, in its sole discretion, deems to be a danger to health, safety, or property.

12.       FORCE MAJEURE & LIMITATION OF COLLEGE LIABILITY

The College assumes no responsibility for failure to perform any terms or conditions of this License due to any event or other cause that is beyond the control of the College such as fire, earthquake, flood, act of God, work stoppage, war, epidemic, or other emergency.

The Resident agrees that the College shall not be liable for any failure, delay, or interruption in performing its normal obligations due to causes or conditions beyond its control, or which could not be prevented or remedied by reasonable effort and at reasonable expense regardless as to whether the subject event or cause was conceivable or foreseeable.

Neither the College nor its employees or agents shall be liable for the loss, theft, disappearance, damage, or destruction of any personal property belonging to, used by, or in the possession of the Resident, regardless of where such property may normally be used or stored. The College encourages the Resident to carry property/renters insurance. Furthermore, the College strongly recommends that Residents do not bring valuables to campus.

13.       REGULATION & AUTHORITY

The College has established rules and regulations for the safety of all Residents. The Resident is responsible for being familiar with current policies by reviewing the Sarah Lawrence Student Handbook, accessible on the College’s website. The College reserves the right to make changes to policies as needed and without notice. The Resident is required to abide by all current and relevant College policies and applicable federal, state and local laws.

At all times, Residents must respect the rights and property of other community members in College residences. Failure to abide by College policies or expectations may result in dismissal from Resident housing and/or the College.

Notice of revocation of this License will be made to the Resident in writing. After the College has made a reasonable effort to contact the Resident, and the Resident is not available to receive notice of revocation of License, the notice may be posted on the door to the Resident's room.

14.       TERMINATION OF LICENSE

The College may at any time terminate this License due to violation of any of the provisions herein, the Resident defaulting on payments owed to the College, or where it is in the interest of the College and the Resident. The College reserves the right to cancel the License for any reason the College, in its sole discretion, deems to be good cause including, without limitation, on account of a health or safety emergency, such as a pandemic, which might require the Resident to temporarily or permanently vacate a College residence.

Any Resident who cancels their License or is removed from housing must move out within 48 hours unless special permission, in writing, has been obtained from the Office of Residential Life. In the event the Resident is removed from Resident housing, the College may take any and all action (including the commencement of litigation) to remove the Resident from the assigned space. Once the Resident departs campus, they will not be allowed to return.

If this License is terminated because of the Resident’s failure fully to perform any obligations under this License, the Resident will continue to be responsible for all fees due under or as a consequence of this License for the entire original License Period.

15.       PROCEDURES FOR VACATING

The Resident shall vacate the assigned space and return all keys on their assigned move-out day(or immediately upon cancellation or termination of this License or other directive to vacate on account of a health or safety emergency). All Residents must move-out no later than Saturday, August 9, 2025. 

Unless otherwise directed, the Resident should return their keys to the Campus Operations Office, located in Andrews Annex, through the purple door next to Barbara Walters Campus Center (during normal business hours) or to Campus Safety’s continuously-staffed central desk (after hours and weekends) before departing campus. All keys/key cards shall be returned in an envelope with the Resident’s name and prior room assignment clearly identified on the envelope. The Resident must properly vacate in accordance with published check-out procedures as issued by the Office of Residential Life; failure to do so may result in an improper check-out fee of $75. In addition, the Resident will be assessed charges for failure to turn in a key and/or for cleaning and damages at check-out/upon vacancy.

Any personal property left by the Resident may be disposed of by the College immediately, and the Resident may be charged for removal of that property or otherwise responsible for organizing its return and associated costs.

Residents who are students at the College are not permitted to store items at the College in the time between the end of the spring semester and the beginning of the summer program, or between the end of the summer program and the beginning of the following fall semester.

16.       DAMAGES AND PROHIBITED ITEMS

The Resident shall be liable for damage or other loss incurred to the assigned bedroom, apartment, and/or residential building which is not the result of ordinary wear and tear, including any damages caused by any guest(s) of the Resident. Damage within the Resident's room is the responsibility of the Residents assigned. The costs of damages or other loss incurred to public areas (e.g., restrooms, lounges, study rooms, laundry areas, hallways, balconies, etc.) which are not the result of ordinary wear and tear, that are not attributable or chargeable to a specific individual or group, shall be equally shared by the Residents of the living area where those damages or losses occur, unless individual responsibility is established. The Resident agrees to pay the Resident’s share of such damages upon demand.

The Resident is responsible for losses or damage to any property in or part of the residence halls that may result from the Resident's negligence or wrongful act, and will have costs of damage and/or losses charged to their account. Any Resident found removing residence hall property from room lounges, suites, or involved in defacing or vandalizing residence hall property could be subject to immediate dismissal from the Residence Halls.

Residential spaces where two or more Residents occupy the same room or apartment, and it cannot be ascertained which resident is responsible for the damage or condition, an assessment will be made against both or all equally. Similarly, where damages occur in floor community areas, corridors, bathrooms, or other common areas, all Residents of said area will be assessed and billed equally if the person(s) responsible for the damage cannot be determined.

If The College is able to determine the specific Resident(s) responsible for any room or common area damages, those specific Residents will be billed and other Residents will have no liability for such damages. Campus housing will not be available to a Resident with unpaid damage charges and further action may be taken. Damages will be assessed in The College’s sole discretion.

 

17.       ADDITIONAL AMENITIES 

The College will provide the following amenities along with a residential space included in the overall housing charges. Access to laundry facilities (up to two loads of laundry per week as part of your housing costs) will be granted to Residents residing on campus for the duration of the License. Campus Safety will be available for any emergencies, maintenance concerns, general inquiries and assistance as needed outside of business hours by calling (914) 395-2209. Residents are required to report all emergencies and maintenance concerns in any area immediately to the College. 

18.       MISCELLANEOUS

(A)   If any provision of this License shall be found to be invalid, the remaining provisions hereof shall continue in full force and effect.

(B)   Any waiver by the College of its rights under this License shall not be deemed a continuing waiver.

(C) This License represents the complete agreement between you, the Resident, and Sarah Lawrence College, the College, regarding your Resident housing, and the License supersedes any prior agreements, contracts or understandings, whether oral or written. The License may not be amended in any way without the prior written permission of the College.

(D)   This License is subject to the laws of the State of New York, without regard to conflicts of laws or principles. The Resident agrees to submit to the jurisdiction of the federal and state courts in Westchester County, New York State, for the resolution of any disputes arising under the License.

 

The Resident affirms they have READ AND UNDERSTAND THE CONDITIONS OF THIS License.
